Privacy Notice — DistantJob Business Outreach

You are reading this because you received an email from DistantJob and followed the privacy link in it, or because you want to know how we handle your information. This notice explains what data we hold about you, where we got it, why we’re allowed to use it, and how to make us stop.

1. Who we are

The data controller is Empire Host Inc, trading as DistantJob, of 1790 Rue Beaulac, Saint-Laurent, Quebec, Canada. For anything related to your personal data, contact us at [email protected]. Our data protection officer can be reached at [email protected].

2. What data we hold about you

Business-contact data only: your name, job title, company, work email address, and, where available, your business phone number and public professional profile (e.g., LinkedIn URL). We do not collect personal (non-work) email addresses, and we hold no sensitive categories of data about you.

3. Where we got your data

We did not receive your data from you directly. It was obtained from publicly available professional sources (such as your company website or your public LinkedIn profile) and from licensed B2B contact databases (such as Apollo.io) that compile business-contact information. This section is provided to meet our obligation under Article 14 GDPR to tell you the source of your data.

We use your business-contact data for one purpose: to send you relevant, business-to-business communications about our recruitment services, addressed to you in your professional capacity.

Our legal basis is legitimate interest (Article 6(1)(f) GDPR): direct marketing of services relevant to your commercial role, using your work contact details only. Under Regulation 13 of the Irish ePrivacy Regulations (S.I. 336/2011), business email addresses may be contacted about matters relating solely to the recipient’s commercial activity. We have balanced this interest against your rights, and we stop immediately — permanently — the moment you object.

5. How long we keep it

If you don’t engage with our emails, we delete your contact data within 12 months of the end of our outreach sequence. If you opt out, we retain only the minimum needed (your email address) on our suppression list — a do-not-contact record whose sole purpose is to make sure we never email you again.

6. Who we share it with

Only service providers acting on our instructions (data processors): our email-sending platform and CRM. We do not sell your data or share it with third parties for their own marketing.

7. International transfers

DistantJob is a fully remote company headquartered in Canada, so your data is processed outside the EEA. Transfers to Canada are covered by the European Commission’s adequacy decision for Canadian commercial organisations (PIPEDA). Where we use service providers in other countries, we rely on Standard Contractual Clauses or an applicable adequacy framework.

8. Your rights

Under the GDPR you may: object to direct marketing (Article 21 — this right is absolute; we must and will stop), request access to the data we hold, request rectification or erasure, request restriction of processing, and lodge a complaint with the Data Protection Commission (dataprotection.ie) or your local supervisory authority.
